Quickstart checklist
Everything between signing up and your first client taking live calls, in order.
This checklist takes you from a new account to a client's agent answering real calls. Work through it in order: several steps depend on the one before. Each step links to its full guide.
Before you start#
Have these ready. You'll create or use accounts outside Wozena:
| You need | Why |
|---|---|
| A Retell AI account | Your agents, voices, phone numbers and call minutes run on it. You pay Retell for usage. |
| A Stripe account | Your clients pay you through it. A test-mode key is enough to rehearse the whole flow. |
| Access to your domain's DNS (optional) | For a custom portal domain and a branded sending domain for email. |
| A first client (or a test one) | A business name and the email of the person who will manage their account. |
1. Set up your agency#
- Create your account and agencySign up, verify your email, and choose your workspace address. The address can't be changed later, so pick it carefully. Create your agency
- Choose your Wozena planIn Plan & Billing, pick the plan that has the features you'll sell. White-label needs the Agency plan or higher by default, and custom domains need Agency Pro. Your Wozena plan
- Connect RetellIn Provider Connections, paste the Retell API key that is tagged “Webhook”. With any other key, call events are rejected. Connect Retell
- Connect StripeIn Provider Connections, paste your Stripe secret key. We create the Stripe webhook for you. Start with a test key to rehearse. Connect Stripe
2. Make it yours#
- Add your brandIn White-labelBrand identity, set your company name, logo, favicon, colours, support email, terms and privacy links. Branding
- Connect a custom domain (optional)Add a hostname such as portal.youragency.com and point a CNAME at us. We issue the certificate automatically. Custom domains
- Verify a sending domain for email (recommended)Add the DNS records we show you so client emails come from your own address. Also set a Reply-to so client replies reach you. Email and sending domain
- Set a notification emailIn White-label, fill in “Notification email” so you hear about failed payments, usage caps and finished campaigns.
3. Onboard your first client#
- Create the client
- Invite the client's adminOn the client's “Members” tab, invite the person who will manage the account as Client admin. Payment links are emailed to this person. Team, roles and invites
- Create a client planIn Client BillingPlans, set a base price, included minutes and an overage rate. Client plans
- Subscribe the clientOn the client's “Billing” tab, send a payment link or activate a free plan. The client's agents can't go live until their subscription is active. Billing clients
Prefer self-serve?
Instead of steps 1, 2 and 4, share a plan link. The client signs up, pays and gets their own workspace without you in the loop. Plan links and storefront
4. Build and go live#
- Build the agent in the client's workspaceCreate a prompt agent (recommended) or a conversation flow, and choose the client as its workspace. Pick the voice and write the prompt. Build an agent
- Give it knowledge and toolsAdd a knowledge base with the client's services, prices and FAQs. Connect their calendar or CRM so the agent can book appointments mid-call. Knowledge bases · In-call tools
- Publish and testPublish the agent, then place a test web call from the builder. Test calls are billed like live calls. Test and publish
- Give it a phone numberBuy a number (or import one), assign it to the client, and route it to the agent, 24/7 or on business hours. Call it from your phone. Phone numbers
- Hand overYour client signs in at your portal address to see calls, recordings, transcripts and reports. The client portal
5. Grow from here#
- Post-call automations: log every call in the client's CRM or push leads into a pipeline.
- Webhooks: send signed call events to Zapier, Make, n8n or your own system.
- Contacts and campaigns: run outbound calling for reactivation, reminders and follow-ups.
- Share an agent: a public demo page and a website call widget, useful for selling.
- Calls and reports: review calls and show each client the value you deliver.
Why the order matters#
A few steps depend on earlier ones. If something is blocked, check this list first:
| If you can't… | Check that… |
|---|---|
| Publish, test-call or buy a number | Your Wozena plan is active and, for a client's agent, that client's subscription is active too. |
| Load voices when creating an agent | Retell is connected and your Retell account has at least one voice. |
| Receive call events or see calls | You connected the Retell key tagged Webhook. |
| Create a client plan | Stripe is connected in Provider Connections. |
| Route a number to a client's agent | The number is assigned to that client and the agent is published. |
| Send a payment link by email | The client has at least one client admin. |
| Share a plan link | Client self-signup is on in White-label and the plan's availability isn't Internal only. |
