Branding

Your name, logo, colours and links on every client-facing surface.

Branding is how your clients experience the platform as your product. You set your company name, logo, colours, support details and legal links once, and they appear on every page and email your clients see. Your clients never see the Wozena name.

Plan: Requires a plan that includes white-label. By default, Agency and Agency Pro include it.

Before you start
  • You’re an owner or admin of your agency. Other roles can’t change branding.
  • Your logo as a PNG, JPG, GIF or WEBP file under 512 KB, or an https link to one.
  • Your brand colour as a hex value, for example #4f6df5.
  • Links to your terms of service and privacy policy, and a support email or help page.

What white-label covers#

Everything lives on one page: White-label in the sidebar. The page has three tabs.

TabWhat you set thereGuide
“Brand identity”Logo, colours, support and legal links, the client preview, self-signup and your notification email. This page
“Email domain”A branded sender address for client emails, and the DNS records that verify it.Email and sending domain
“Custom domain”Your own hostname for the client portal, its verification and its certificate.Custom domains

Your branding appears on:

  • The client portal: the sidebar, the browser tab title and the favicon.
  • The sign-in and signup pages on your portal address.
  • Emails your clients receive, such as invitations, password resets and payment links.
  • The footer on your sign-in and signup pages and inside the portal, with your terms, privacy, support and social links.

To see the full client-facing picture, read The client portal.

Plans and who can edit#

The “Brand identity” and “Email domain” tabs need a plan that includes white-label. The “Custom domain” tab needs a plan that includes custom domains. By default, Agency includes white-label and Agency Pro adds custom domains. Starter includes neither.

If your plan doesn’t include a feature, its tab shows a message such as “White-label branding isn’t on your plan” with “Upgrade on the Billing page to unlock this capability.” See Your Wozena plan to upgrade.

Only agency owners and admins can change these settings. When a client user opens the page, they see “Managed by your agency” instead.

If your plan stops including white-label
Nothing you set up is deleted. After a cancellation, a lapsed payment or a move to a plan without white-label, your saved branding keeps showing to clients for a two-week grace; after that they see neutral styling under your agency’s name until you’re back on a plan that includes it. Your custom domains keep working throughout, so login, billing and password recovery are never cut off. The White-label page tells you which of these states you’re in. If your agency is suspended, your portal address stops showing your branding until it is active again.

Client brand readiness#

The “Client brand readiness” card at the top of the “Brand identity” tab tracks the essentials. Each chip turns green when its fields are filled in, and the bar under it fills in your primary colour.

ChipComplete when you’ve set
IdentityA “Company name”.
LogoA “Logo”.
Brand colorA “Primary” colour.
SupportA “Support email” or a “Support / help URL”.
LegalBoth a “Terms URL” and a “Privacy URL”.
Tip
Get all five chips green before you invite your first client. The first things a new client sees are your sign-in page and your invitation email.

Set up your brand#

  1. Open the Brand identity tab
    Go to White-labelBrand identity.
  2. Add your name, logo and favicon
Fill in “Business identity”. Use “Upload logo” and “Upload favicon”, or paste https links. See Business identity.
  3. Set your colours
Enter your “Primary”, “Secondary” and “Accent” colours under “Color system”.
  4. Add support and legal links
Open “Support & legal” and fill in your support contact, terms and privacy links. Optionally add “Social links”.
  5. Check the preview
Use the “Client experience preview” on the right. Switch between Portal, Login, Email and Mobile to check each surface.
  6. Save
Click “Save branding”. You’ll see “Branding saved”. Until you save, the page shows “Unsaved changes”.

Business identity#

FieldWhat it does
“Company name”Your brand name. Shown in the portal sidebar, the browser title, the sign-in page and branded emails.
“Logo”Shown on the sign-in page, in the portal and in emails. Click “Upload logo” or paste an https link.
“Favicon”The small icon in the browser tab. Click “Upload favicon” or paste an https link. If you don’t set one, your portal shows a generated icon: the first letter of your name on your primary colour.

Upload rules

  • Maximum file size is 512 KB.
  • Logos: PNG, JPG, GIF or WEBP. Favicons: the same formats, plus ICO.
  • SVG files aren’t accepted. Export your logo as PNG instead.
  • Links you paste must start with https://.
  • An upload replaces your current logo or favicon straight away, even before you click “Save branding”. You’ll see “Image uploaded”.

Color system#

Enter each colour as a hex value like #4f6df5, or as rgb() or hsl(). You can also use the colour picker next to each field.

FieldWhat it does
“Primary”Your main brand colour. It drives buttons, the active item in navigation, focus rings, the sign-in page panel, and the button and heading colour in emails. Text on top of it switches between light and dark automatically so it stays readable.
“Secondary”A supporting colour. The page describes it as the colour that supports surfaces.
“Accent”A highlight colour. The page describes it as the colour that highlights status.

Support & legal#

These details appear in the footer of the client portal and in the footer of branded emails. The section is collapsible and starts open.

FieldWhat it does
“Support email”Where clients can reach you. Used for the Support link if you don’t set a “Support / help URL”.
“Support / help URL”Your help centre or contact page. If set, the Support link opens this instead of your support email.
“Terms URL”Your terms of service. Shown in the footer and on the client signup page.
“Privacy URL”Your privacy policy. Shown in the footer and on the client signup page.
“Footer text”A short line of plain text, such as a copyright notice. Up to 500 characters.

On the client signup page, your terms and privacy links appear as “By signing up you agree to the Terms and Privacy Policy”.

The support email isn’t a reply-to address
Clients who reply to an email don’t reach your “Support email”. To receive replies, set a “Reply-to (optional)” address on your sending domain. See Replies from clients.

Social links#

Optional links that show as icons in the footer of your sign-in and signup pages and the client portal. They don’t appear in emails. The section is collapsed by default.

FieldExample
“Website”https://youragency.com
“X (Twitter)”https://x.com/youragency
“LinkedIn”https://linkedin.com/company/youragency
“Facebook”https://facebook.com/youragency
“Instagram”https://instagram.com/youragency
“YouTube”https://youtube.com/@youragency

If you leave all of the footer fields empty, the footer doesn’t appear at all.

Client self-signup#

Below the form is the “Allow clients to self-register on your signup page” toggle. Turn it on to let new clients create an account at your branded signup page without an invitation. A copyable signup link appears under the toggle. The setting saves with “Save branding”.

For how self-signup works and when to use it instead of invitations, see The client portal.

Notification email#

The “Agency notifications” section sets where we send agency-level email alerts: campaigns finishing, subscription changes, usage-cap alerts and workspace status changes.

  1. Enter an address
Type an address in “Notification email”, such as a shared inbox your team watches.
  2. Save it
Click “Save email”. This saves separately from “Save branding”.

Leave the field blank to turn these emails off. You’ll still see notifications inside the app. For the full list, see Emails you receive.

Preview and when changes appear#

The “Client experience preview” shows your brand on four surfaces: Portal, Login, Email and Mobile. It updates as you type, before you save, so you can try colours without affecting clients.

Saved changes apply to client-facing pages and emails. Pages clients see before signing in, such as the sign-in and signup pages, can take up to about five minutes to show new branding because they’re cached.

Tip
To check what a signed-out client sees, open your portal address in a private browser window.

Invoice branding#

Your clients are billed on your own Stripe account, so their invoices and receipts come from Stripe. We don’t send your branding to Stripe. Set your logo and colours for invoices in your Stripe dashboard’s branding settings.

See Connect Stripe and Billing clients.

Common questions#

My new logo isn’t showing on the sign-in page

Signed-out pages are cached for up to about five minutes. Wait, then reload in a private window. If you pasted a link, check it starts with https://.

My SVG logo won’t upload

SVG isn’t supported. Export the logo as PNG or WEBP under 512 KB and upload that.

Why do some payment emails show a different name?

A few client emails, such as payment failed, payment link and usage alerts, use your agency name instead of the “Company name” field. Keep the two the same so clients always see one name.

Can clients see or change my branding?

No. Client users see “Managed by your agency” on the White-label page. Only your owners and admins can edit it.

Is the Wozena name visible anywhere to my clients?

No. Titles, favicon, emails and footer use your brand. One detail: uploaded logos are served from our asset host, so the image address isn’t on your domain. If that matters, host the image yourself and paste its https link.
